Privacy Policy
This policy explains what personal information We Quote It collects, why we collect it, and what rights you have. It covers two groups of people: tradesmen and trade businesses who use the platform, and customers of those tradesmen who complete a quote form.
Who we are
We Quote It provides online quote forms, lead qualification and appointment booking for tradesmen in the United Kingdom. For privacy questions, or to exercise any right below, email admin@wequoteit.com — our registered company details are available on request from that address.
We are the data controller for the information described here. Where we hold information on behalf of a tradesman — for example the quote enquiries submitted to them — we act as a data processor for that tradesman and they are the controller of that information.
What we collect
If you are a tradesman or trade business:
- Your business name, contact name, phone number, email address and service postcode areas.
- Your trade and the questions you want your quote form to ask.
- Your working hours and calendar availability, if you enable booking.
- Your branding choices — logo and colours — if you personalise your quote form or QR code.
If you are a customer completing a quote form:
- Your name, phone number, email address and the postcode of the job.
- The details you give us about the job: the type of work, timing, budget range and any answers to the tradesman's own questions.
- Any photographs you upload of the job.
- If the tradesman has the automated voice assistant enabled and you agree to the call: your phone number, the audio of the call, and a transcript of it.
We do not ask for and do not want payment card details, bank details or any special-category information (for example health data). Please do not include that kind of information in a quote form or upload.
Why we use it, and our lawful basis
- To pass your enquiry to the tradesman you contacted and let them respond — this is necessary to take steps at your request before entering a contract, and in our legitimate interests in operating the service.
- To qualify the enquiry — filtering out vague or out-of-area jobs so tradesmen are not sent time-wasters — legitimate interests of the tradesman and of us.
- To book appointments into the tradesman's calendar at your request.
- To send you notifications about your own enquiry (by email and SMS) — necessary for the service you asked for.
- To keep records and prevent abuse — legitimate interests.
- To send marketing email to tradesmen and trade businesses — see the section below on how that is handled.
Sharing your information
We share information only as needed to run the service:
- The tradesman you contacted — your enquiry and any photographs.
- Amazon Web Services — email delivery (SES), text messages (SNS) and storage of uploaded photographs (S3). AWS hosts data in the EU/UK region we select.
- Vapi — telephony and transcription, but only where the automated voice assistant is enabled and a call is placed.
- Our hosting and DNS providers — to serve the website.
We do not sell personal information, and we do not share it for third-party advertising.
How long we keep it
Quote enquiries and their photographs are kept for 24 months so that tradesmen can refer back to previous jobs, after which they are deleted. Tradesman account information is kept while the account is active and for 12 months afterwards. Call recordings and transcripts, where they exist, are kept for 12 months. You can ask us to delete your information sooner — see your rights below.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you;
- ask us to correct anything inaccurate;
- ask us to delete it;
- object to processing based on legitimate interests, and to direct marketing at any time;
- ask us to restrict what we do with it;
- complain to the Information Commissioner's Office (ico.org.uk).

Cookies and analytics
The quote form and the tradesman dashboard use only the storage needed to make them work — for example keeping the state of a form you are part-way through. We do not use advertising cookies or third-party tracking pixels on the quote form.
Marketing email to tradesmen
Where we email a trade business about our service, we do so on the basis of legitimate interests, keeping the message relevant to the trade and the area, identifying ourselves clearly, and including a working way to opt out of any future email. If you ask us to stop, we stop and we keep a record of that request so it is honoured.
Changes
If this policy changes in a way that affects you, we will update the date at the top and, where the change is significant, tell tradesmen by email.
